Document Scanning
Access Technology scanning services digitises accounting stationery, customer
files, legal files, healthcare records, in fact just about any paper based
information and transfers the resulting data to CD-ROM, an Optical Disk or
directly to your own Hard Drive or our remotely hosted Image Repository AccessIntel
accessed via the Internet.
The images & data is indexed in accordance with individual customers
requirements to maximise the speed of retrieval. Similarly, hybrid microfilm
rolls, microfiche, aperture cards, engineering or architectural drawings can all
be converted into a digital image for use within your application. Pre-printed
forms are recognised and interpreted for capture of data from specific layout
locations using powerful recognition engines build into our imaging
bureau. Complex business rules and exception handling rules can be scripted and
automatically applied. Multiple form layouts are identified to allow complex
processing at low cost and high throughput.
Fax Capture
Our fax scanning system consistently delivers quality data using an
established methodology. Custom form design by our experienced Professional
Services group, and a multi-line fax servers, provides a complete solution for
your paper-based documentation using fax/scan technologies. Remote sites will
appreciate the ability to fax forms directly into Access capture centre and
experience fast turnaround as they are imported into AccessIntel web
based image processing solution.
In a successful fax scanning system form design is critical. AT's
Professional Services staff have been trained and have demonstrated the ability
to create successful forms for large and small applications. Using multiple
anchor points designers create forms that have exceptional read rates. To
eliminate the potential for error all received forms are passed through a second
level of validation by verifiers.
Data Capture
Optical or Intelligent character recognition (OCR/ICR) is the translation of
optically scanned bitmaps of printed or written text characters into character
codes, such as ASCII. This is an efficient way to turn hard-copy materials into
data files that can be edited and otherwise manipulated on a computer.
We utilise a number of different OCR conversion and forms processing
packages, each of which has its own strengths for certain types of documents. We
don't just scan paper documents, but we also convert materials that have been
stored in microfilm and microfiche.
Access Technology tailors data capture to the specific requirements of a
project. We carefully analyse client needs and intensively test alternatives
before recommending the conversion process.
On-site document scanning is available for very sensitive or valuable
documents. Entire documents or selected portions of a document are converted
into digital form and returned to clients for use in their document management
systems or hosted on AT's AccessIntel secure web server. Output types
include word processor format, spreadsheets, ASCII files, business specific
applications like SAP, Filenet and most database types.
Manual Data Entry and Formatting
It is not always possible to automatically convert
documents to digital form. Handwritten and poor quality documents are often more
cost effectively done by manual key entry and verification. Our offering
includes high-capacity data entry services to key directly from scanned images
or from microfilm and microfiche. Keyed data is always linked to database
extracts if a database exists.
In order to achieve guaranteed accuracy rates of 99.95% or greater, AT has
adopted a double entry methodology when capturing data. Essentially, this means
that two data entry operators independently key the required data as specified
by the client. After completion, AT data entry software runs a comparison check
to identify discrepancies in the captured data. Then, a third senior operator
addresses and corrects the discrepancies found within the data capture results.
Finally, a data quality auditor will conduct a random 5% quality check of the
data capture results. The data capture results are then formatted appropriately
and uploaded to the ftp server within the required turnaround time.
AT have adopted an exceptions reporting system to complement their data entry
results files. All output data contained within the data entry results files
are guaranteed at a certain accuracy level with the exception of those fields
listed by image in the exceptions file. In essence, the file is provided for
your benefit and is used to highlight instances of poor image quality and
illegible handwriting amongst other issues.
Image Storage & Retrieval
AT's content repository & management services (see
AccessIntel)includes designing, building, and implementing a
cost-effective system to maintain customers vital documents at a secure Internet
site providing online document management. Each system is based on
AccessIntel web based platform customised to meet a client's specific
needs. It enables users to institute a search and retrieval procedure using
already established indices and document identification on a 24 X 7 basis.
Access to this system is through either Microsoft Explorer or
Netscape Communicator browsers. Only users with approved access to the
information are able to retrieve it by use of identification logons and
passwords.
For source documents, Access Technology can scan and index
from paper, microfilm, microfiche and cards. Documents may consist of legacy
back-file information or day-forward. Another alternative is to handle legacy
data on an "on-demand" basis. We retrieve the data from the original form and
transmit it via AccessIntel "on-demand." Clients can do day-forward
scanning and indexing using their own resources or use our services.
